The majority of modern Xerox multifunction printers have some pretty awesome cloud capabilities. You likely already know that you can print a file directly from the cloud right to your MFP.

Cloud printing by itself is a massive time saver, but there’s many other benefits to putting the cloud to work with your data and, by extension, your printer. Some of them are less obvious than others, but no less impressive.

Let’s take a look at five of the lesser-known game changers the cloud can bring to your business:

xerox cloud computing features#1 – Your Data is Backed Up By Default

As you’re probably already aware, the term “the cloud” is a bit of a buzzword—all it really means is “data stored on a server somewhere else.”

That, however, offers a whole host of benefits, the least of which isn’t the fact that it means your data is backed up by default.

Whether you have an on-site backup solution or not, storing your data in the cloud means that no matter what happens to your physical computing devices (e.g., your laptop or phone), your data will always remain in the cloud. Theft, fires, floods, or any other data-destroying disasters can’t affect your data.

#2 – New Employees Can Get to Work Right Away

Before the cloud, new employees had to either gain access to the local network of a business or, even more cumbersomely, copy files directly to their hardware. With the cloud, granting a new employee access to files (including limited access to specific files only) is easy and typically only takes a few minutes.

#3 – Life Will Be Easy for Remote Workers or Contractors

Remote workers rejoice!

Whether a team member is traveling or you’ve hired an out-of-area contractor, storing your files in the cloud will give them access to everything they need, from files to photos. No more emailing attachments and delaying projects because your remote worker needs a certain file—they already have access to it in the cloud.

Most cloud solutions allow for real-time document collaboration, meaning that two or more people can work on the same document at the same time. Pre-cloud, this kind of capability was pretty much unheard of or required specialized software to pull of. The cloud allows for easier collaboration, even if the participants are using different operating systems or device types.

#5 – Files Being Transferred Are Encrypted

…Well, at least with any cloud service that’s worth using—for example, Xerox DocuShare Flex uses industry best practices (and then some), meaning that whenever you transfer a file to-and-from the cloud, it’s encrypted. This, in some situations, can be even more secure than email or other methods of file transfer.

Customizing Xerox Cloud Features to Meet Your Unique Needs

Keep in mind that cloud computing and printing is designed to work around your needs, not the other way around. Which features or benefits you implement into your daily workflow is entirely up to you and your team—pick the ones that help your business thrive the most and don’t worry about the rest.
