The post-impressionist painter Vincent Van Gogh once said, “Great things are done by a series of small things brought together.”
For those of you who know his story, it’s no secret that Vince might have been just a tiny bit on the crazy side—but he was right about the cumulative effect that small, subtle things can have on the larger whole.
Your documents are no different. Even though you might already know that your Xerox machine can help you save money and that it gives you the opportunity to make fantastic in-house package inserts, today we’d like to discuss some of the smaller little tricks you can use to your advantage.
By implementing the three small (but powerful!) printing tips we’re going to share with you today, you’ll be able to add a noticeable level of professionalism to your presentations for both staff and clients.
#1 – Add a Professional, Highly Customized Cover in Copy Mode
Covers can add a touch of professionalism or officialism to documents, particularly longer presentations, booklets, or even questionnaires. You can of course do this with original documents, but the covers feature is pretty handy to have in copy mode as well.
Found under the Special Pages or Output Format menu on your unit, you can select the style, color, and even the paper stock used for your covers. Using a heavier weight for your covers can give them a “book style” feel.
You can check the official Xerox support page to confirm that your particular model has this feature.
#2 –Scan Different Document Sizes
Under the Layout Adjustment tab, you can switch the scanning mode to mixed size originals. This very handy feature allows you to scan differently sized sheets of paper or documents.
The best part? You can print copies of these documents on regularly sized printer paper (e.g., A4) while maintaining the original aspect ratio—nothing looks stretched out or otherwise modified. As promised, this is a small tip, but it has such a huge impact for offices that even scan semi-regularly.
#3 –Scheduled Print Jobs
In a nutshell, scheduled print jobs are printing tasks that take place at a time and date you desire. Whether that’s tonight at 2 A.M. while everyone’s out of the office or on Thanksgiving next year, your Xerox MFP can accept a job and print it later.
This is really handy in those situations where you need to review a large document the following day, but you don’t want to tie up the printer in the morning when everyone else needs to use it. Simply schedule the job to run at night and pick up your document first thing in the morning.
