Not every small business can afford to have a dedicated IT person, let alone an entire department. In fact, most can’t—or, more likely, don’t need to.

Successfully troubleshooting a “tech problem” isn’t quite the nightmare that it used to be in the late 90s or early 2000s, but it’s certainly possible to have one of those hair-pulling moments, especially if you’re on an important deadline.

The good news is that many common printer problems can be resolved with relative ease all by yourself. Let’s take a quick look at a few issues that small business owners occasionally have to resolve:

If your Xerox MFP is taking longer than usual to print documents even when it doesn’t have anything else in the queue, the solution might be as simple as double-checking your print mode settings.

High-resolution printing is ideal for presentation documents or other important handouts, but isn’t likely to be necessary for the majority of day-to-day printing in your office. It also takes longer to print. Check your settings and, if necessary, swap back over to the standard or draft print mode.

Prints Look Really Horrible, Especially Images

The cause of prints looking poorer in quality than you expected could be caused by the opposite of the solution discussed above; that is to say, your print mode is set to draft or standard instead of high resolution mode. High-resolution print mode will make a big difference on images. Another culprit could of course be low ink supply, so make sure you check that too.

The Printer is Totally Unresponsive

Perhaps the most infuriating of all troubleshooting issues is when your printer is just sitting there doing nothing.

Here’s a few things that could be causing the problem:

  • The print job was sent to the wrong printer (it happens more often than you’d think, even here)
  • There isn’t enough paper in the tray
  • The type of paper in the tray is incorrect for the expected print job
  • The printer is currently occupied with another task (e.g., updating firmware, apps, or other software)
  • The printer needs to be restarted
  • The printer needs maintenance
