This, among other neat features, are often overlooked by office managers. And it’s a shame too, because printer technology has come a long way in the past couple of decades. Xerox multifunction printers (MFPs) are capable of so much more than just printing or scanning documents. You can use them to securely store and print documents, create a digital archive of your hard copy, and share documents with your colleagues around the world.

How to Print Sensitive Documents No Matter Who Else is Around
In a busy office, you never know who might be around. Have you ever done the “mad dash” to the printer to pick up sensitive documents that shouldn’t be seen by anyone else?
Or how about this: have you ever printed something important, only to get distracted by a phone call or other interruption… and then realized in the middle of lunch that you forgot to pick up those sensitive documents in the tray where anyone could pick them up?
Xerox technology makes this a problem of the past with Xerox Secure Print. This feature allows you to send a task to the printer without it actually printing out yet. Instead, the printer will hold your job until you’re physically standing next to the device and enter a passcode. The whole process only takes a few extra seconds, but it ensures that only the people who are supposed to see the documents actually will.
Take Full Advantage of Different Print Modes to Save Paper & Ink
Are you sure you’re using the best print mode for the job? Does every document you print really need to be at the highest quality? If your working environment is like most, the answer is no, probably not—so start taking advantage of the different print modes your device offers. You’ll save both paper and ink.
For example, use duplex printing whenever possible (print on both sides of the paper). Use draft mode to use less ink. There’s a reduction in quality, but that’s usually not a problem for review documents, notes, or internal memos.
Finally, consider using N-up printing when appropriate. If you haven’t used it before, N-up printing is a feature that allows you to print several different pages of a document on a single sheet of paper. This is usually between two and four pages for text documents so that they remain legible, but you can squeeze more onto a page.
A note on terminology: the “N” is exchanged with however many documents are on the single sheet of paper, for example 2-up printing means that there would be two pages on the sheet, 4-up means that there are four, etc.
Imagine this scenario: you need to review four pages of a document. This is for your own personal use, so the presentation quality doesn’t need to be terribly high. You decide to 2-up print the document with duplex printing in draft mode. Instead of using 4 sheets of paper, you’ve only used 1 (two pages on each side of the sheet) and you’ve used less ink since you printed in draft mode. How’s that for being financially and environmentally responsible?
