We have been hearing this question a lot lately:

“How do I get the WorkCentre copier to scan to a gmail account?”

First, make sure that IMAP and POP For All Mail are enabled in the settings section of your Gmail account.

POP and IMAP is what allows you to download messages from Gmail’s servers onto your computer so you can access your mail with a program like Microsoft Outlook or Mac Mail, even when you aren’t connected to the Internet.

  1. Sign in to Gmail.
  2. Click the gear icon in the top right
  3. Select Settings.
  4. Click Forwarding and POP/IMAP.
  5. Select Enable IMAP.
  6. Select Enable POP for all mail or Enable POP for mail that arrives from now on.
  7. Choose what to do with your messages after your POP client or device receives them.
  8. Click Save Changes.

Note: Although the radio button next to your selected option may not stay selected, Gmail displays the status next to ‘POP Status:.’ When you enable POP, your settings display ‘POP Status: POP is enabled.’

If your POP settings are turned off, the status will indicate that POP is disabled.

Next:

  1. Login to CWIS as the Administrator.
  2. Click on the Properties tab.
  3. Enter the login name in the User ID field and the password in the Password field. Note: The default login name is admin, and the default password is 1111.
  4. Click on the Login button. The Configuration Overview window will be displayed.
  5. Click on Connectivity to expand the list of options.
  6. Click on Protocols to expand the list.
  7. Click on SMTP Server. The Require Information tab will be displayed.
  8. Select the Static radio button next to SMTP Server Setup.
  9. Enter smtp.Gmail.com in the SMTP Server IP Address / Host Name field.
  10. Enter 587 or 465 for a Port in the Port Number for sending E-mail / Internet fax.
  11. Select SSL / TLS from the SMTP – SSL / TLS Communication pull-down
  12. Enter your email Address in the Machine’s E-mail Address field.
  13. Enter your email Address again in the Login Name field.
  14. Enter your email Password for the Gmail account.
  15. Select the System Radio Button under the Login Credentials for E-mail Send section.
  16. Click the Apply button.
