Small businesses should always be looking to save money in any way they can.
There’s countless ways to do it—and how good you are at it can mean the difference between a business that you pass down to your children and one of the 80% that close their doors permanently.
Of course there’s a lot more to running a successful business than simply reducing costs, but it sure doesn’t hurt. Since “cheaper” doesn’t always mean “better,” the answer isn’t to cut corners. Making intelligent purchases that ultimately pay for themselves and contribute to your bottom line
As you probably already know, running an office can be surprisingly expensive. In an effort to help you save money and make more of those intelligent purchases, we’ve compiled a handful of money-saving tips and potential equipment upgrades to look out for.
Reduce Reliance on Hard Copy
Reducing your reliance on paper doesn’t just save you money on blank sheets and toner. If you digitize your documents and move them to the cloud, your office will be far more efficient. Rather than your employees spending time searching for documents in file cabinets, they can simply enter a few keywords and retrieve the document from your cloud service of choice, and that’s whether they’re working from home or on the road.
Somewhat counter-intuitively, a great way to reduce the amount of paper you use is with the right multifunction printer…
Purchase a Printer That Does What YOU Need
Our job at Smart Document Solutions is to give you the information you need to make an informed purchase. You hear that kind of terminology thrown around a lot—“informed purchase”—but what does it really mean?
It means that when you buy an office-class printer for the first time or as an upgrade, you’re getting a product that’s going to work within your unique usage scenario. Or, in other words, it’s going to do exactly what you need it to do.
Xerox multifunction printers have too many great features to list in one place, but some of the notable ones pertaining to saving money are:
- Cloud capable, meaning you can digitize your documents and will need to print less
- Save space since all functions are in one unit
- Save energy as you won’t need to plug in different devices to accomplish different tasks
- Intuitive interface can be used by nearly anyone
- Saves employees valuable time
This is just the tip of the iceberg. Check out these other amazing Xerox MFP features.
Tips to Reduce Ink Usage With Xerox Printers
Once you have the right printer, how you choose to use it will impact your overall costs. For example, if you have a color printer, only use the color option when it’s really necessary. Even though the cost of ink has come down dramatically in recent years, color prints are still going to be more expensive at the end of the day. Forming good workplace habits like always printing documents in black and white unless they absolutely must be in color will, over time, save quite a bit of money.
Interestingly, Xerox printers allow you to print documents in “draft mode,” which is a lower quality (but still perfectly readable/usable) print. If you’re printing a document for personal reference or you plan to edit it by hand anyway, using draft mode can cut back on the amount of ink used.
