It wouldn’t be a stretch to say that it’s a near certainty that your workplace needs to print the same document multiple times at least occasionally. Give a moment’s thought to the kinds of documents that you print on a regular basis. Regardless of your industry it’s incredibly likely that you print things like requisition forms, time sheets, standardized reports, schedules, templates, and so on.
Now, stop for a moment and think about the process that you undergo when you print one of those repeated documents. If you’re like most workplaces, you have the document saved somewhere, either locally on your computer or laptop, or perhaps on a cloud document service. So you find the document, spend some time configuring how you want it printed, send the print task to your Xerox MFP, and then physically pick up the print job when it’s done.
What if you could just skip (almost) directly to the last step? That’s what the saved jobs feature in modern Xerox MFPs can do for you. Let’s learn how it works.
Reprint Repeated Documents Easier Than Ever Before With Saved Jobs
Here on the Smart Document Solutions blog, we’ve often discussed the many wonderful apps available for modern ConnectKey-enabled Xerox devices. The saved jobs feature is not an app, it’s built into your MFP. There are no additional downloads and the feature is free. It may require you to briefly spend a moment setting it up before the first use, which we’ll discuss in the following section.
Here’s why the feature saves so much time. For those documents you print multiple times per week, or even per day, after you’ve configured them once, you can simply print them out again at the device.
In other words, you’ll find a document that you want to be able to reprint easily. Then you’ll set the print job parameters as you usually would. For example, the number of copies, the paper type and size, color settings, and so on. Then you’ll save that job. From then on, it will be available to be used again and again without having to go through the configuration steps again.
How To Set Up and Use Saved Documents in Your Print Environment
If your Xerox device doesn’t have the saved jobs feature enabled by default, you’ll have to set it up once yourself. Don’t worry, it’s easy. It depends on the model that you have for the precise instructions, but generally the feature can be enabled at the device itself in the MFPs settings or through the embedded web server.
For example, with most WorkCentre models, you visit the embedded web server, sometimes called Internet Services, which is where the administrator of the printer can change various settings. Once there, you’ll go to the Jobs tab and enable the feature. For detailed instructions, go to the official Xerox support website and enter the name of your product. Then search for saved jobs.
Upgrade Your Office to Modern Xerox Technology and Enjoy More Time-Saving Features
The saved jobs feature is just one of the many built-in features of modern Xerox Office technology that can improve efficiency and save time, particularly on repeatable actions. However, don’t forget that your Xerox device can have its features extended even further with apps from the Xerox App Gallery. With Xerox, customization and control over how you print is always in your hands.
