Smart Office
Office automation refers to the hardware and software for your computers, printers, smartphones and other gadget. More specifically it refers to how we use these tools to digitally create, collect, store, manipulate, and relay office information needed for accomplishing basic tasks and saving on time and money. These savings in turn translate to a more productive workforce and a better bottom line.
This can be anything from printing a basic monochrome print job that amounts to a few dozen pages to production printers for industrial sized jobs. Not every one of your clients likes sending documents via email and thus faxing documents is still a necessity in most offices today. Office automation also involves keeping both internal and external email straight. Ultimately, office automation means keeping your office organized, efficient, and smart. That being said what does it look like to have no office automation?
Dumb Office
A dumb office would lack much of the advanced technology that allows a smart office to run securely and efficiently. Let’s imagine for a second if you worked in an office that had a low quality copier prone to breaking down, rendering it useless. It’s a horrific idea, we know, but imagine you and or your administrative staff had to rely solely on typewriters and carbon copy paper to get your work out the door.
Before computers, copiers and workstations became ever present in offices people had to rely strictly on typewriters to put together reports. A copy had to be typed, by hand, for each party involved. Can you even begin to imagine typing out that 40 page report you need to present to the board over and over and over and over again? O, that way madness lies.
Let’s pretend you had an older copier but faxes did not yet exist. How fun would it be stopping by your nearest post office or overnight mail center to wait in line to send an important document every time you wanted to share with one of your office mates across the country or potentially even the world?
Maybe you simply needed to get a document to that office a few blocks away by your 1:00pm deadline but you also have a noon meeting. Thank God for bike couriers! However, what if you and your meeting are in Mesa, AZ and your client with the deadline is in say ….Goodyear, AZ…and it’s noon? The bike courier just won’t cut it in these situations.
